A platform may show when settlement is expected and help investigate a difference. That does not make the platform the party that holds or transfers merchant funds.

Processing and settlement are different events

A payment can be authorised or captured before the corresponding funds appear in a settlement report or bank account. The processing status describes the transaction lifecycle. Settlement follows the commercial and operational arrangement between the merchant and the relevant PSP.

Visibility is not custody

PayStar can calculate an expected settlement view from recorded payments and provider data, compare that expectation with imported reports and surface differences. This is operational visibility. PayStar does not accept, store or transfer the merchant customer funds represented by those records.

The contract defines the financial owner

The signed merchant–PSP agreement determines settlement timing, reserves, deductions, supported currencies and the escalation path. When an amount is late or different, the PSP remains accountable under that agreement. The merchant owns the commercial escalation; PayStar can supply the technical evidence.

Reconcile before assigning a cause

Match payment identifiers, statuses, fees, currencies and reporting periods before calling a settlement missing. A difference can come from timing, report scope, a provider adjustment or incomplete data. Record the evidence, owner and next action for every exception.

Use precise language in every view

Label calculated records as expected settlement, imported files as provider reports and confirmed bank movements as actual transfers. Do not use a single successful status to imply that every later financial step is complete. The same terms should appear in the interface, exports, support procedures and commercial discussions. When language is consistent, finance can identify the missing evidence quickly and other teams are less likely to assign a contractual provider obligation to the orchestration platform.

Expected settlement is a control view. The obligation to settle remains where the provider contract places it.
